About the Position As a face of the agency and resource for your colleagues, you'll be greeting, welcoming, and directing staff and visitors as well as providing a variety of complex clerical assistance and support. The duties of the position include, but are not limited to: - Serve as the first point of contact for visitors during business hours. This involves greeting, checking in visitors and directing walk-in clients to the correct department.
- Answers and appropriately routes incoming phone calls using a multi-line telephone system.
- Assists OIC staff in reserving and checking out agency vehicles, conference rooms, badges, and parking passes.
- Accepts incoming deliveries from UPS, FedEx, legal messengers, and other delivery services.
- Review, analyze and input SOP submission sent via mail or legal messengers into database.
- Issue certificates of service via certified mail on insurers on behalf of the agency.
- Act as a liaison and subject matter expert for applicable SOP procedures.
- Processing Insurance fair Conduct Act (IFCA) paperwork by logging IFCA paperwork and “responses” from insurance companies into spreadsheet.
- Open, screen, sort and distribute incoming mail and deliveries to each department.
- Collect and prepare outgoing mail and deliveries for multiple daily pick-ups.
- Conduct inventory of office supplies throughout the building.
- Prepare and submit purchase orders for office supplies, paper products, toner, and janitorial supplies.
- Verify receipts of all goods and supplies delivered and distribute as necessary.

Required Qualifications: - High school graduation or equivalent
- Two years of clerical and/or customer service experience. Clerical and customer service experience includes duties such as answering multi line telephones, greeting customers, taking orders, or responding to questions, providing resolution to issues, filing, keeping records, data entry, processing mail, inventorying supplies, checking emails, typing and/or managing schedules or calendars, in a professional office setting.
- Basic proficiency on Microsoft office products such as Excel, Outlook and Word.
- The ability to type 40 words per minute.
An associates degree from an accredited institution whose accreditation is recognized by the U.S. Department of Education or the Council of Higher Education Accreditation or a foreign equivalent will substitute for up to two years of clerical experience. Preferred/Desired Qualifications: - Experience providing assistance and resolution to customers regarding inquiries, complaints or problems in a helpful and professional manner in person, over the phone and in writing.
- Experience using a Teams phone system
- Experience performing mailroom functions such as opening, sorting, and delivering mail, and knowing how to mail items through certified mail, FedEx etc.
- Experience performing supply room functions such as taking inventory, placing orders and receiving/stocking supplies.
- Intermediate use of Microsoft products (Word, Excel and Outlook)
